TERMS AND CONDITIONS

 These Terms and Conditions were last updated on 1st August 2023.

Ladies Circle Sales (the ‘Company’) is committed to ensuring these Terms and Conditions (‘T&C’s’) are up to date, clear and fit for purpose. The following expressions, when used in these T&C’s, shall mean the following:

‘Site’ refers to the Company’s website, which can be accessed at www.ladiescirclesales.co.uk

‘Service’ refers to the Company’s services accessed via the Site i.e. event ticket sales, purchase of Regalia and merchandise.

The terms ‘we,’ ‘us, and ‘our’ refer to the Company.

‘You’ refers to you, as a user of our Site or our Service.

‘NALC’ or ‘Ladies’ Circle’ means the National Association of Ladies’ Circles of Great Britain & Ireland.

‘Committee’ means the organising committee.

‘National Exec’ means the current National Executive of NALC which is separate to the individual events Committee.

‘Delegate’ means an active member(s) of the Round Table Family as defined by their constitutions attending the event or any other person invited as a guest.

 

BOOKING CONDITIONS

All bookings must be made via the website, unless otherwise agreed in writing and confirmed by the Committee.

No booking will be guaranteed without full payment.

The submission of a booking via the website by a Delegate constitutes an agreement to these T&C’s. Any Delegate who submits a booking on behalf of any other person warrants that they have the agreement of that person to be bound by the T&C’s.

The Committee reserves the right to apply an additional non-refundable booking fee to cover card and bank charges.

All Delegate payments must be received in full by the Payment Deadline as specified by the individual event. Failure to comply may result in cancellation of the booking without further notice and refund of any payment(s) made will be subject to the cancellation terms set out in these T&C’s.

A Delegate may be substituted within a booking before the event upon written notification to and approval from the Committee.

By completing a booking using the website, Delegates confirm that they and anyone they are booking in has reviewed our Privacy Policy

 

CANCELLATION TERMS

You have the right to cancel your purchase for a full refund (less any non-refundable booking fee) from when you place an order until 14 days after purchase. Weekends and public holidays are included within this 14 day cooling off period.

Outside of the 14 day cooling off period purchases can not be cancelled and the full price is payable.

You have the right to resell your booking. Should the event be sold out the Committee may assist with reselling your booking but will not be held liable if unsuccessful.

If a booking is resold the committee must be informed in writing of the changes to Delegate details. Failure to do so will result in the original booking information still being used i.e. dietary, access requirements remain unchanged unless the Committee are informed.

 

DELAGATE CONDUCT

All Delegates are expected to maintain appropriate standards of behaviour and conduct during the event and to show respect to other Delegates and any staff working the event.

The conduct and behaviour policies of any external Venues used for any event will also apply.

Any Delegate who fails to maintain such standards of behaviour and conduct may, at the discretion of the Committee be excluded from the remainder of the event without refund.

Delegates, including any guests who are present at their invitation will be held personally liable and responsible for the following:

  • any damage caused by them or reasonably believed to be caused by them to the venue facilities during the event
  • any excess cleaning required to the venue facilities during the event

 

EXCLUSION, DISCLAIMER AND LIMITATION OF LIABILITY

The Committee reserves the right to amend any events published itinerary without notice including relocation to alternative venues and event cancellation due to forces beyond their control

Delegates attend the event at their own risk. The Committee and NALC cannot be held liable for any loss, damage or injury sustained by any Delegate or guest participating in any function or activity, subject to statutory exemptions.

The Committee will endeavour to accommodate special requests and preferences for dietary requirements or other matters and will pass this information to the external provider (caterers/ event venue). No guarantee is provided or implied that meals provided at events will meet such requirements or other matters unless the external provider is required to by law.

Any Delegate with a food allergy must make this clear when booking so the external catering providers are aware. The Committee will ensure the external catering providers are aware of allergy requests in advance and will check on the day but accepts no further responsibility. Any issues must be reported to the Committee and raised with the external provider at the time.

The Committee shall not be liable to any Delegate for any delay, failure or non-performance in case of events or circumstances beyond its reasonable control (“Force Majeure”), including but not limited to act of God, war, riots, civil commotions, terrorist acts, accidents, strikes, lock-outs, trade disputes, fires, breakdown of plant or machinery, natural disasters, severe adverse weather, unforeseeable transport problems, governmental or regulatory actions or restrictions, failure of hotels to provide accommodation or function venues, or any other cause whatsoever (whether or not similar to the foregoing) outside the control of the Committee.

The website content, including the information, names, images, pictures, logos and icons regarding or relating to Ladies Circle products and services (or to third party products and services), is provided on an “AS IS” basis without any representations or any kind of warranty made (whether express or implied by law) to the extent permitted by law, including the implied warranties of satisfactory quality, fitness for a particular purpose, non-infringement, compatibility, security and accuracy.

 

INTELLECTUAL PROPERTY

The names, images and logos identifying Ladies Circle or third parties associated with the event and their products and services are subject to copyright, design rights and trademarks of Ladies Circle and/or third parties. They must not be used by anyone without permission of the Committee or the National Exec.

 

MISCELLANEOUS

At the event, Delegates will be required to be in possession of their event pass at all times and may be required to produce these at the request of the Committee, or their nominee(s). Failure to do so may result in their exclusion from part or all of the event.

The T&C’s may be varied and/or amended by the Committee at any time by posting changes online. A record of any variation and/or amendment will be maintained by the Committee. It is the responsibility of Delegates to review them regularly to ensure they are aware of any changes made. The continued use of the website by a Delegate or their failure to cancel or amend their booking after changes are posted means that they agree to be legally bound by the T&C’s as varied and/or amended.

The failure by the Committee to enforce, at any time or for any period, any one or more of these T&C’s shall not be a waiver of them or of the right at any time subsequently to enforce all of these T&C’s.

If any term or provision of the T&C’s is held invalid, illegal or unenforceable for any reason by any court of competent jurisdiction, such provision shall be severed and the remainder of the provisions hereof shall continue in full force and effect as if the Conditions had been agreed with the invalid, illegal or unenforceable provision eliminated.

The Committee and Delegate do not intend any part of these T&C’s to be enforceable by any person not a party to it, by virtue of the Contracts (Rights of Third Parties) Act 1999.

Any dispute or difference arising out of or in connection with this contract shall be determined by the appointment of a single arbitrator to be agreed between the parties, or failing agreement within fourteen days, after either party has given to the other a written request to concur in the appointment of an arbitrator, by an arbitrator to be appointed by the President or a Vice President of the Chartered Institute of Arbitrators.

These T&Cs shall be governed by and construed in accordance with the law of England, and the Courts of England and Wales shall have exclusive jurisdiction to hear all disputes arising in connection with these Terms and Conditions.
